VacationCRM
VacationCRM is the client reservation management system our agency uses. This is simply a management system, not a booking engine. Clients submit their information to you via the CRM, but bookings are made directly with your supplier or destination, and then you enter the reservation information into CRM after booking.
This is an invaluable resource, especially as your business grows. Many destinations have different deadlines for deposits, final payments, booking dining, and more. It is particularly important to remind clients about upcoming dining and balance due dates for Walt Disney World. CRM is how we manage that. It has tons of amazing features—I don’t even use all of the features that I should. How much you use it is up to you. My minimum requirements are listed below.
First, please review parts 1 and 2 of the custom training video just for Magical Horizons Travel:
Links to send to clients:
When they are a brand new client (i.e., you’ve never booked a trip before): registration form
When they already have a trip booked OR they are a repeat client and you already had information to create the trip, and need to make a payment on a card not on file: payment form
Login information:
You each have a unique “User ID.” Let me know if you need me to resend your ID and temporary password.
Agency ID is “MagicalHorizons” (no space).
My only requirements in your use of the CRM:
Use of “Trip” page for overall trip and “Reservation” page for underlying reservations (such as a hotel booking, VIP tour, split stay, etc.).
Accurate booking numbers for each “reservation” listed under “trips.”
Accurate and up to date gross total and commission for each reservation. This ensures that I can accurate attribute every commission payment I receive in my account, and ensure that you are timely and accurately paid. If changes are made to any reservations, please update the gross totals and commission amounts.
Minimum training videos on the “User Center” section of your CRM Account (I highly recommend reviewing as many as you can):
